SUMMARY
The Executive Assistant plays a crucial role in providing administrative support to the Conference Minister, and within specific guidelines, to the Associate Conference Ministers and Executive Team of the Board of Directors. This role ensures the effective stewardship of the Conference Minister’s time while advancing the mission of the Conference.
The primary focus includes day-to-day management of a virtual and digital office environment, including scheduling, document preparation, records and files maintenance, updating the Conference Minister’s calendar in collaboration with communications staff, sorting and responding to e-mail, and providing support for staff meetings. Responsibilities include exposure to sensitive information that require considerable use of tact, diplomacy, confidentiality, discretion and judgment.
The Executive Assistant contributes to smooth administrative and diplomatic functioning across the organization through excellent communication skills and demonstrated cultural competence. The position should be conducted in a way that reflects God’s extravagant love and hospitality for all with whom this person has contact.
KEY RESPONSIBILITIES
- Provides administrative support to the Conference Minister: anticipating needs, identifying conflicts, and proactively implementing solutions
- Keeps the CM calendar, supports travel coordination and serves as main contact for the CM
- Additionally coordinates with and among other staff and organizational calendars
- Serves as staff to the SCNC Board of Directors, working with Conference Ministry Staff and the Board Chairperson in the development of agendas and supporting documents, assisting the Board and its committees with information and support services and attends meetings of the Board
- Serves as primary point of contact for board members regarding logistical details, calendar, and appointments with the CM
- Provides support bookkeeping as needed for CM expenditures
- Is responsible for special projects as assigned: may attend meetings to take notes, contributes notes to database regarding CM visits, and researches/analyzes data and develops reports to aid in executive decision-making
- Drafts correspondences, suggests actions and interpretive materials and in general ensures that professionalism, timeliness and accuracy are observed in responding to calls, requests, letters, electronic communications, etc.
- Provides support to Associate Conference Ministers with calendaring and travel
- Coordinates and Supervises Search Process for selected staff positions
- Supports the Annual Meetings as requested
- Other duties as assigned by the Conference Minister
QUALIFICATIONS
- Minimum of Bachelor’s Degree required; High School Diploma or Associate’s degree will be considered in light of more extensive experience and good references
- Minimum five years of experience as an Administrative Assistant required, preferable in a non-profit and/or faith-based organization
- Clear understanding of need for confidentiality and discretion
- Demonstrated excellent communication, organizational, and interpersonal skills
- Excellent grammar, written and verbal communication skills as well as proofreading and editing skills.
- Experience in office administration with willingness to take appropriate initiative of the effective implementation of the role
- Demonstrated experience with work prioritization and meeting deadlines.
- Strong knowledge of Microsoft Office Suite, Adobe, Zoom, spreadsheets, and graphics
- Demonstrated ability to use or quickly learn new software for databases and communications
- Ability to be flexible and adaptable as needed to accomplish goals
- Commitment and sensitivity to the variety of local church traditions, cultural and ethnic backgrounds represented in the United Church of Christ and our values
- Willingness to travel occasionally within the United States in support of SCNC events
